Manage Housekeeping Inspections

Inspections help housekeeping teams check room standards, record issues, and confirm when follow-up work is complete. Checkout Inspection tasks provide a separate room check for belongings or damage before checkout. Available inspection options vary by property.

Before You Start​

  • Confirm you have access to the inspection pages for the correct property.
  • Confirm rooms and room types are set up.
  • Confirm the inspection template reflects the property's current standards before staff begin inspections.
  • Tell staff which failed items they must address before the room is rechecked.
  • Before starting a new inspection, confirm a completed cleaning task with a recorded room attendant exists for the same room within the previous 48 hours.
  • Confirm the staff member completing a Checkout Inspection has an online connection; completed Checkout Inspection tasks cannot be saved offline.

Review Inspections as a Manager​

  1. Go to Inspections.
  2. Filter the room list to find the room or group of rooms you need to review.
  3. Open an inspection record.
  4. Review the checklist by category.
  5. Check each item's pass or fail result.
  6. Review comments or photos when they are available.
  7. Check the overall result: Pass, Partial Pass, or Fail.
  8. Follow up with staff on failed items and confirm whether the room needs another inspection.

Use the overall result together with the item results. A partial pass or fail can require follow-up even when some checklist items passed.

Add photo evidence​

When an inspection or task comment allows image attachments, click the attachment button and choose Take a Picture or Upload from Gallery. After taking a picture, review it and choose Use Photo, Retake, or Cancel. Gallery selection can include more than one image when the workflow supports it.

If Take a Picture is unavailable or the camera cannot open, choose Upload from Gallery instead. Continue with the existing inspection save or completion action after the photo is accepted.

Start an inspection after cleaning​

HOME requires recent cleaning evidence before a new inspection can be recorded. The room must have a completed cleaning task with a recorded room attendant within the previous 48 hours. Turndown work does not satisfy this requirement.

If the inspection is blocked, assign the room cleaning task, start it, and complete it with the room attendant recorded. Then try the inspection again. Existing inspections already marked done can still be edited.

Fix Failed Inspection Items as Staff​

Staff address inspection issues from their room work in Staff bottom navigation > Room Assignments.

  1. Go to Staff bottom navigation > Room Assignments.
  2. Open the assigned room.
  3. Review the failed inspection items and any available comments or photos.
  4. Complete the required correction for each failed item.
  5. Update the room work as required by your property's process.
  6. Tell the manager when the room is ready for review or reinspection.

Do not mark a failed item as resolved until the required work is complete. If instructions are unclear, ask the manager before changing the room status.

Track Personal Inspection Checklist Progress​

Staff can use the checkbox beside each checklist item to track their own progress while working through an assigned inspection. This personal checklist is separate from the official pass/fail result and does not change the manager's inspection result.

  1. Go to Staff bottom navigation > Room Assignments.
  2. Open the assigned room and its inspection checklist.
  3. Check an item when you have completed that part of the work.
  4. Clear the checkbox if the work still needs attention.
  5. Reopen the same assignment in the same browser to review your saved personal selections.

Personal selections belong to the signed-in staff member and assignment. They are not shared with another staff member and do not replace the normal inspection actions for failed items or completion.

Use Checkout Inspection Tasks​

Checkout Inspection tasks help staff record whether they found belongings or damage in a room before checkout. Managers and other eligible HOME roles can create the task from the task page, assign it to an eligible housekeeping staff member, or leave it open for housekeeping staff to claim.

When Pre-fill Employee is enabled in Checkout Inspection task settings, HOME suggests the room's cleaning maid for a new task when an eligible assignment is available. When it is off, the assignee remains empty until a manager selects one or a housekeeping staff member claims the task.

  1. Go to Tasks and click Add Task.
  2. Select Checkout Inspection.
  3. Select the room and enter the guest name when available. Assign the task to an eligible housekeeping staff member, or leave it unassigned so housekeeping staff can claim it.
  4. Add remarks when the assigned staff member needs more context.
  5. Click Add.
  6. If the task is unassigned, a housekeeping staff member can open it from the staff task view and claim it.
  7. Open the task after the room check starts.
  8. Select Nothing found, Belongings found, or Damage found. Nothing found cannot be combined with another finding.
  9. Add photos or a description when useful. Both are optional.
  10. If photos show belongings or damage, review the suggested description when it appears. Click Use suggestion to copy it into the description, or dismiss it and enter your own text.
  11. Click Complete while online.

The assigned staff member can update and complete the task. Eligible managers can update the remarks, assignment, findings, or completion on the staff member's behalf. A housekeeping staff member can claim only an open, unassigned task. A completed or cancelled Checkout Inspection cannot be reopened; create a new task for a new inspection.

If the description suggestion is unavailable, keep the uploaded photos and enter the description manually. The task can still be completed when a valid finding is selected.

Set Up Inspection Templates​

Use inspection templates to define the checks required for each room type. Template options, including translation and upload, vary by property.

  1. Go to Settings > Inspection.
  2. Open an existing template or create a new one.
  3. Select the Room Type the template applies to.
  4. Set the Main template that staff use for the standard inspection.
  5. Add an Extra template when the property supports it and requires additional checks.
  6. Add categories, then add at least one checklist item within each category.
  7. Enter a category ID and name, and an item ID and name for every checklist item.
  8. Add translations or upload template content when those options are available.
  9. Save the template.
  10. Review the checklist before staff use it for inspections.

Keep item names short and specific so staff can quickly understand what to check. Tell the team when a template changes.

Upload an inspection template​

Use the upload form when a prepared spreadsheet contains the inspection template for one or more room types.

  1. Go to Settings > Inspection.
  2. Click Upload File.
  3. In the upload form, click Download Template to start from the provided workbook, or click Browse to select an .xlsx or .xls file.
  4. Keep these required columns in the first worksheet: Room type, Category id, Category Name, Item id, and Item name.
  5. Fill every required column for each data row. Remove empty rows before uploading.
  6. Review the selected file, then click Save.

Room types can be separated by commas in the Room type column. Optional translated category and item columns can be included when the property uses staff languages.

Troubleshooting​

An expected inspection item is missing​

What you see: The checklist does not include an item the property expects staff to check.

Do this:

  1. Check the template assigned to the room type.
  2. Confirm the category and item were added and saved.
  3. Confirm staff are using the correct room and inspection record.
  4. Ask an administrator to update the template if the property's standard has changed.

Staff cannot see details for a failed item​

What you see: Staff can see a failed item but no supporting comment or photo.

Do this:

  1. Confirm whether the inspection includes a comment or photo.
  2. Ask the manager for the required correction if no detail is available.
  3. Confirm the staff member is opening the correct assigned room in Staff bottom navigation > Room Assignments.

Personal checklist selections are missing​

What you see: The personal checkboxes do not show the progress you marked earlier.

Do this:

  1. Confirm you are signed in as the same staff member and viewing the same property.
  2. Open the same room assignment and inspection checklist.
  3. Return to the browser where you marked the selections; personal progress is not shared across staff accounts or assignments.
  4. Use the official inspection result and failed-item controls when the manager's inspection status needs to change.

A template option is not available​

What you see: An option such as an Extra template, translation, or upload is not shown.

Do this:

  1. Confirm the property supports that option.
  2. Check that you have access to edit inspection templates.
  3. Contact support if the option should be available for the property.

An inspection is blocked before it can be recorded​

What you see: HOME says that a completed cleaning task with a recorded room attendant is required before inspection.

Do this:

  1. Open the room's cleaning task.
  2. Confirm a room attendant is assigned.
  3. Start and complete the cleaning task.
  4. Return to the inspection and try again within 48 hours of the cleaning completion.
  5. Do not use a turndown task as the cleaning evidence for the inspection.

An inspection template upload is rejected​

What you see: HOME reports missing columns, missing required values, or no data rows after you choose a spreadsheet.

Do this:

  1. Download the current template from the Upload File form.
  2. Confirm the first worksheet includes Room type, Category id, Category Name, Item id, and Item name exactly.
  3. Fill every required value in each data row and remove blank rows.
  4. Upload the corrected .xlsx or .xls file again.
  5. Click Save after the file is accepted.

Still Stuck?​

Contact support if:

  • Inspection records do not load for the correct property.
  • Failed items cannot be reviewed or updated after a refresh.
  • A required template or room type cannot be configured.
