Create Facilities and Activities

Facilities and activities are the records guests or staff can book.

Before You Start

  • Categories should be configured.
  • Availability and capacity rules should be ready.
  • Operations should confirm how bookings are approved or confirmed.
  • Payment and pricing rules should be approved when the booking is paid.
  • Terms, policy, and customer email wording should be ready if the guest flow uses them.

Create a Facility or Activity

  1. Go to Facility Booking -> Facilities.
  2. Click Create.
  3. Enter the name, description, category, subcategory if used, and visible details.
  4. Add images if required.
  5. Choose the booking type.
  6. Configure duration limits when the booking type is Unique item or Identical item.
  7. Configure terms and conditions, guest policy text, pricing, payment, customer email, and display color where applicable.
  8. Configure availability, slots, capacity, booking limits, and active state.
  9. Save the record.
  10. Confirm it appears in the facility list.

Review the Facility List

Use the facility list to find existing facilities or activities, open records for editing, and confirm visibility before go-live.

  1. Go to Facility Booking -> Facilities.
  2. Search or scan for the facility or activity.
  3. Confirm active state, category, booking type, and visibility.
  4. Open the record before changing guest-facing settings.
  5. Test the guest flow after changing booking type, pricing, capacity, or terms.

Edit an Existing Facility

  1. Open the facility list.
  2. Select the facility or activity.
  3. Update details, availability, visibility, translations, or operational settings.
  4. Use the disable activity control only when guests should no longer book it.
  5. Save changes.
  6. Test the guest or staff booking flow if availability, pricing, payment, terms, or capacity changed.

Booking Types

Booking TypeUse It ForWhat Changes

Choose the booking type before setting detailed slot and capacity rules. Changing it later can change which controls are visible or relevant.

Configure Duration Limits

Use duration limits when a Unique item or Identical item activity must be booked within a defined time range.

  1. Go to Facility Booking -> Facilities.
  2. Create or open a Unique item or Identical item facility.
  3. In Duration limits, enable Enable minimum and maximum duration.
  4. Enter positive whole minutes in Minimum minutes and Maximum minutes. The minimum cannot exceed the maximum.
  5. Click Save.
  6. Test the guest and staff booking flows with a duration inside and outside the configured range.

Guest-Facing Content

Review these fields before publishing:

  • Name, description, category, and subcategory.
  • Images and background color.
  • Terms and conditions shown before confirmation.
  • Facility policy or privacy text shown during booking.
  • Price and details price wording.
  • Customer email subject and template.
  • Translations for every required guest language.

When editing a non-default language, only change translated guest-facing content. Core controls such as booking type, capacity, or payment should be reviewed in the default setup context.

Troubleshooting

Facility does not appear for guests

What you see: Staff created a facility, but guests cannot find it.

Do this:

  1. Confirm the facility is active and visible.
  2. Confirm its category is active.
  3. Confirm the selected date has available slots.
  4. Confirm booking rules do not hide the facility.

Facility shows the wrong booking flow

What you see: Guest sees quantity, pax, slots, or duration fields that do not match the intended activity.

Do this:

  1. Check the facility booking type.
  2. Review slot, operational time, and capacity settings.
  3. Confirm the facility was saved after booking type changes.
  4. Test the guest flow again.
