Create DM Logs and Track Follow-Ups

DM Log records shift notes, incidents, guest issues, and follow-up items for handover.

Before You Start

  • Categories should be configured.
  • Duty managers should know the property's handover standard.
  • Follow-up owners should be active staff or teams.

Create a DM Log Entry

  1. Go to HOME -> Duty Manager Log.
  2. Create a new log entry.
  3. Select the category.
  4. Add the summary, details, guest or room reference, and any attachments if available.
  5. Add follow-up owner and due time if action is needed.
  6. Save the log entry.

Review the DM Log List

  1. Open Duty Manager Log.
  2. Filter by date, category, status, room, guest, or follow-up owner where available.
  3. Open the log entry to review notes, attachments, follow-up state, and handover context.
  4. Update the entry only when the new information is part of the shift record.
  5. Use email summaries or dashboard review after confirming the list reflects the shift being handed over.

Track Follow-Up

  1. Open the DM Log list.
  2. Filter by open follow-up items.
  3. Review owner, due time, and notes.
  4. Update the follow-up status when action is complete.
  5. Add handover notes if the item continues into the next shift.

Troubleshooting

Follow-up item is missing

What you see: A handover item was expected but cannot be found.

Do this:

  1. Clear category and status filters.
  2. Check the date range.
  3. Search by room, guest, owner, or keyword.
  4. Confirm the log was saved in the correct property.

Log entry is missing from the list

What you see: A duty manager saved a log entry, but it is not visible.

Do this:

  1. Clear category, date, status, and owner filters.
  2. Search by room, guest, or keyword.
  3. Confirm the selected property.
  4. Ask the creator to confirm the entry was saved.
